Close the Day When Bookings Hit Your Cap

If your crew can only handle a set number of jobs in a day, your muse can watch the booking calendar and close a day for new bookings as soon as it hits that cap.

What it does

Overbooking rarely happens in one big mistake. It happens one small yes at a time, until a day holds more work than the crew can finish well. A capacity cap stops that drift. You set the most jobs your team can take in a day, for example four appointments. The muse checks the bookings in your scheduling system through the day. When a date reaches your number, it closes that date in the system, so no new booking can land on it. Intake stays open for every other day, and the rule you set makes the same call every time.

How to use it

1. Work out your real daily cap from a hard week, not a good week. Count the jobs your crew finished well, with travel and breaks included.
2. Connect the scheduling or booking system your jobs live in, and show the muse where a day is opened and closed.
3. Set the rule in plain words: "When a day reaches four appointments, close that day to new bookings and tell me you did it."
4. For the first two weeks, read the notice each time a day closes and check the calendar yourself before you trust the pattern.
5. Change the cap by season or crew size as your team changes, and say the new number in the chat so the rule updates.

• A daily cap you have chosen, in plain numbers
• A way to reopen a day yourself when a regular customer truly needs the slot

What to watch for

• A cap set too low turns away work you could have done. A cap set too high protects nothing. Recheck it after the first month against the days that felt overloaded.
• Closing a day only stops bookings that come through that system. Jobs promised by phone or in person still need to be entered, or the count will be wrong.
• Leave yourself an override. A long-standing customer with a real emergency is a judgment call, and that call stays with you, not with the rule.
• The muse prepares and closes the day, you decide the exceptions. You can change the cap, pause the check, or disconnect the booking system at any time.
